Terms & Conditions
Operator – Agencja Rondo, the owner of the online platform Poland4Weekend, Polish Tour Operator with National License No 2101 (Mazovian Voivodeship).
Client- a visitor who pays for guides, accommodation, transfers or other services offered by the Operator to make the Booking.
Offer- electronic document from the Operator with full details of the trip or other Operator’s services
Order - electronic document from the Client with acceptance of the Offer
Deposit - prepayment required to make the Booking
Booking- accepted and confirmed Order by the Operator of requested Operator's services
Voucher - electronic document sent by the Operator to the Client confirming the booking
The subject agreement defines the terms and conditions under which Operator provides the Client with booking of guides, accommodation, transfers and/or any other travel services.
The only legally binding unit of currency for payments is Polish Zloty (PLN), therefore Operator's prices are calculated in Polish Zloty (PLN). Quotes in other currencies on Operator's website are only for tentative purpose. Due to daily fluctuations of exchange rates there can be minor differences in the final price charged by the credit card authorization center or Client bank.
Operator requires deposit of 30% of the final price. Booking is confirmed when deposit is received by Operator and Client receives an invoice. From this point cancellation charges will apply.
Final payment is due 30 days before the trip date. If final payment is not received by the due date, your reservation may be cancelled and cancellation charges will be due.
If the trip or other Operator’s services are booked within less than 30 days from the start of the trip date, Operator requires full payment at the time of booking.
When the Operator receives full payment, Client receives a confirmation Voucher including travel information with itinerary, guides names, contact details, hotels, transfers etc. Client is obliged to check all information on the Voucher and report to Operator any inaccuracies within 24h from receiving the Voucher. Operator is not responsible for any changes if he is notified later.
Operator will issue Voucher on receipt of final payment from the Client.
Client is obliged to fulfill all immigration requirements (visa, passport etc.) with relevant embassies or consulates.
Operator does not accept any responsibility in the case of Client being unable to travel due to not complying with any such requirements.
Operator does not provide travel insurance other than required by Polish Law for Travel Operators. Client is recommended and responsible to acquire insurance or otherwise cover travel risks such as medical, accident, baggage, third party, repatriation and cancellation.
Operator provides Client with hotel standard and localization in the Offer and all hotel details (including check-in and check-out time) in the Voucher.
If necessary Operator has the right to modify hotel bookings with equal standard and price.
If Client is a traveler with disabilities or requires special health arrangements, the Operator must be informed before booking confirmation. The Operator will ensure that these special needs are considered but does not guarantee that all will be met and reserves the right to inform Client before making final booking confirmation.
During local national holidays or special events, religious rites, some museums, churches, tours, hotels and tourist attractions may be limited or not available. Operator will ensure that such notices will be given in advance or alternative services will be provided.
Operator accepts card payments with the following cards: Visa, MasterCard, American Express.
Secure on-line payments are supported by PayPal. There is no fee for credit card payments.
The Operator has the right to reject the Order in case when the Clients credit card funds are insufficient to cover the costs of the ordered services or the credit card vendor rejects the transaction operation.

CANCELLATIONS & CHANGES
By the Operator:
Operator reserves the right to do changes only with justified cause. In case of minor changes Operator provides Client with alternative travel arrangements with similar standard and price.
Operator will not pay any compensation if he is forced to cancel or change travel arrangements as a result of unusual or unforeseeable circumstances outside Operators’ control such as war, civil strife, industrial disputes, natural disaster, adverse weather conditions, or terrorist activity.
The Operator will ensure to minimize any inconvencies which might result from these circumstances.
By the Client:
If Client wishes to change any part of his arrangements after the Booking, he must inform Operator in writing as soon as possible.
If Client decides to cancel part or all of the Booking, he should contact Operator as soon as possible. All cancellation must be made in writing.
Depending on the Hotel and particular offer details the actual Terms and Conditions of modifications and cancellations may be different than the general rules presented below. Operator will inform the Client of the actual and binding Terms and Conditions during the booking process in the Order and the Voucher. If there are no specific conditions listed in the Order or Voucher, the following Terms and Conditions will apply:
Cancellation received 30 days or more prior to tour departure: 30% of the total price.
Cancellation received 30-14 days prior to tour departure: 60% of the total price.
Cancellation received less than 14 days prior to tour departure: 100% of the total price.
Any changes or cancellation made by the Client need to be verified and confirmed by Operator in writing.
All refunds will be sent within 14 days to the card with which the payment was made. Refunds are made in Polish Zloty (PLN) only.
PRICE INCLUSIONS AND EXCLUSIONS
All services specifically described in each itinerary.
Prices do not include:
International flights &Airport taxes
Passport and visa charges
Tips (restaurants, guides, drivers etc.)
Expenses of a personal nature.
Any extra charge that is not specified in the program
CLAIMS AND COMPLAINTS
Any complaints associated with Operator’s services should be reported by Client during the event immediately to Operator, either by email: firstname.lastname@example.org or by telephone +48 536 139 218.
Client must report problems or discrepancies with standard during the trip as this will effect later claims made by Client.
All claims regarding package travel incompatible with the agreement must be reported to Operator by registered mail to Agencja Rondo, Mysiadło 05-515, Nowa Wola ul. Storczykowa 26, Poland, or by email at email@example.com, which must be confirmed by the receiver. Operator will reject any complaints after a period of 30 days of package travel’s termination. The claim should define infringements regarding the services rendered and state Client's demands. Claims will be dealt with by Operator within deadlines provided by applicable law.
The Client who make a booking with Operator automatically accepts the above Terms&Conditions and is fully aware of its contents and regulations.
These Terms and Conditions and the provision of our services shall be governed by and construed in accordance with Polish law. Any disputes arising between any Client and Operator in connection to these Terms and Conditions and the services shall exclusively be submitted to the Courts having jurisdiction in Warsaw in Poland.
